Email and calendar in one window with meetings and chat: connect Gmail or Microsoft 365 — or take Zoom's own mail service with end-to-end encryption.

What it is

Mail & Calendar is two things under one name, and each is useful in its own way. The first is an email and calendar client inside the Zoom Workplace app: you connect your work Gmail or Microsoft 365 and handle mail and your schedule in the same place as meetings and chat. The messages are not stored on Zoom servers — the data goes straight from your provider to the app.

The second is Zoom's own Zoom Mail and Zoom Calendar service: full corporate email on your domain with protection unusual for email — end-to-end encryption between employees, where the contents of a message are not available even to Zoom. For messages sent outside there is an “email via a secure link with a limited lifetime” mode and ordinary sending over a secure connection.

The honest caveats: the Zoom Mail service is available on Zoom's US and European instances; the client holds one mail account at a time; mail accumulated in the service cannot be exported to external mail systems. Scheduling with free/busy

When you set up a meeting you can see the invitees' availability, the event immediately gets a Zoom link, and from the event card you can message participants in chat — no more “now send me the link separately”.

Email lives next to chat

An email can be sent into Zoom Chat and discussed with colleagues, and a cloud recording of a previous meeting can be attached to an invitation. The context of a conversation is not torn apart between programs.

Calendar delegation

An assistant with scheduling rights books meetings on the manager's behalf — invitations go out from the owner's calendar, as is customary in organizations.

What the client and the service can do

Client: familiar email

Inbox, drafts, sent, archive, search, rules and filters, stars, custom labels, out-of-office auto-reply and signatures — everything is there, only inside Zoom.

Client: a full calendar

Personal, shared and resource calendars: creating, moving and deleting events, access by permissions. You can see which of the invitees have already joined the Zoom meeting — right in the side panel.

Client: data does not stay with Zoom

Third-party mail and calendar are not stored on Zoom servers: messages sit in an encrypted database on your computer, and calendar events stay in memory until the app is closed.

Service: end-to-end encryption

Messages between employees are encrypted with keys held on the devices: no outsider can read the contents, including Zoom itself. Between two domains — by mutual permission of the administrators.

Service: expiring emails

An external recipient receives a secure link with a built-in password and an expiry period — a day, a week or a month. Once it expires the link is dead and the contents are deleted from the servers.

Service: your own domain

Corporate email on the company domain (Business plans and up), several domains per account, migration of users and mailing lists, resource calendars for meeting rooms.

Service: business features

Bulk mailings and scheduled sending, mailing lists, aliases, mailbox delegation, templates, address blocking and webmail — a corporate-grade email toolkit.

Service: storage by plan

From 50 GB per user on the Pro plan to 5 TB on Enterprise. Data is stored in the region where the account is hosted: the US instance in the United States, the European one in Europe.

Service: anti-spam standards

DMARC, DKIM, ARC and MTA-STS out of the box; external filtering and data loss prevention systems are supported — for ordinary mail, where they have access to the contents.

Service: for legal and compliance

Legal hold on messages, search for investigations (eDiscovery), reports, change history and delivery management — admin tools for regulated organizations.

Service: access recovery

Encryption keys can be brought under the organization's control (Device Managed Encryption): an administrator can restore access for an employee who has lost every device, or hand over correspondence in response to a lawful request.

Limitations

Honestly: the client holds one mail account at a time; encrypted messages cannot be read in webmail; mailings are not end-to-end encrypted; mail from the service cannot be exported to an external system; attachments are limited to 25 MB.
