Zoom Rooms: a turnkey meeting room

Equipment, a per-room licence and deployment: what a meeting room is built from and how to equip one in Russia.

The point

Short answer

A Zoom Room is a meeting room where the call starts with one press on a tablet by the door. The room knows its own schedule, joins the conference by itself and points the camera at whoever is speaking.

Technically it is a bundle: a display, a camera, microphones, a small computer and a control tablet — plus the Zoom Rooms licence that ties them together.

The licence is counted per room, not per person. As many rooms as you have equipped, that many licences. The staff sitting in the room spend no licences of their own: they join the meeting as usual.

How this differs from a laptop on the table

A laptop in a meeting room works right up until the meeting fails to start on time. Somebody looks for a cable, somebody adjusts the screen resolution, the camera points at the ceiling and the remote participants listen to an echo.

A Zoom Room removes those five minutes. The room schedule is pulled from the calendar, there is a single Start button, the screen is shared wirelessly, the camera follows the speaker and a microphone array picks up voices from the whole table.

For the person in the room there is no difference from an ordinary meeting: the same address book, the same screen sharing, the same whiteboard, the same recording.

What a room is built from

A display, or two

The second one usually carries the shared content so that faces do not get pushed into a corner.

A camera

For a small room, one wide-angle camera. For a large one, a camera that tracks the speaker, or several cameras.

Audio

The most common budget mistake. A ceiling or table microphone array with echo cancellation costs more than the camera and decides more.

A small computer and a control tablet

The tablet sits by the door or on the table: schedule, start button, volume, end call.

A scheduling display

by the door shows whether the room is busy or free and lets someone claim it on the spot.

What matters

No two meeting rooms are alike

The most expensive mistake when fitting out is ordering ten identical kits for ten rooms. A room for four people and a hall for thirty need different cameras, different audio and a different number of displays. The kit that is excessive for the first will be helpless in the second.

The second most common miss is saving money on audio. A poor picture is tolerated; poor audio gets switched off.

Older equipment is not thrown away

SIP and H.323 endpoints already standing in meeting rooms connect to Zoom conferences through the connector. The room keeps working and the company does not pay twice.

If another conferencing system runs in parallel inside the organisation, rooms are brought together: participants join from their own side and the meeting is one.

What the IT department needs

Rooms are visible in the admin console alongside the rest of the account. Hardware state, firmware versions and remote restart are in Zoom Device Manager; alerts arrive when a room drops off, not when the receptionist reports it.

Connection quality in a specific room is investigated with metrics and client-side diagnostics. The network is checked before installation with a connectivity test. Policies, single sign-on and encryption are the same as for the rest of the account; there is no separate perimeter to set up for rooms.

How to equip a meeting room in Russia

A Russian bank card is declined on the Zoom site. Licences are bought under contract through a partner — the procedure is described on How to pay for Zoom from Russia. Equipment is supplied and installed under the same contract.

Frequently asked questions

How many licences do ten meeting rooms need?

Ten. A Zoom Rooms licence is counted per room, not by headcount.

Do staff need a separate licence to sit in such a room?

No. The room joins the meeting itself. A Zoom Workplace licence is needed by whoever schedules the meeting.

Is the equipment included in the licence price?

No. The licence and the equipment are separate lines. What to choose is covered in the equipment review.

Can we connect an endpoint that is already installed?

Yes, if it speaks SIP or H.323 — through the connector.

What happens while the room is free?

The screen can be filled with digital signage, and the room itself put into shared booking.
