Zoom Rooms: meeting room equipment, capabilities and how it works

In short

Zoom Rooms is a meeting room where a meeting starts at one button on a tablet. The room knows its schedule from the calendar, joins the meeting by itself, points the camera at the speaker by itself and takes the screen wirelessly. Employees do not need to plug in or set up anything.

Technically it is a bundle of a screen, a camera, microphones, a mini computer and a control tablet, plus the Zoom Rooms licence that ties it all together. The licence is counted per room: 54,868 ₽ a year per meeting room excluding VAT at the Central Bank rate on 6 September 2026. What Zoom Rooms is and what it is not

Zoom Rooms is not "rooms" inside the app and not breakout rooms. It is a program for a meeting room that runs on a mini computer in the room and is controlled from a tablet. The room appears in the company's account as a separate participant: it has a name, a calendar and its own licence.

How this differs from a laptop on the table. The laptop works right up to the moment the meeting does not start on time: someone is looking for a cable, someone is adjusting the screen resolution, the camera is looking at the ceiling, remote participants hear echo. Zoom Rooms removes those five minutes. The schedule is pulled from the calendar, there is one "Start" button, the screen is shared wirelessly, the camera follows the speaker, the microphone array picks up voices from the whole table. For an employee there is no difference from an ordinary meeting: the same contacts, the same screen sharing, the same whiteboard, the same recording.

The fewer separate boxes there are in the room, the fewer things can fall off. So for small rooms we more often install all-in-one devices, and for large ones we assemble a kit from separate components.

The most expensive mistake when equipping: ordering ten identical kits for ten rooms. A room for four and a hall for thirty need different cameras, different audio and a different number of screens. A kit that is excessive for the first turns out helpless in the second. The second most common mistake: saving on audio. A poor picture is tolerated; poor sound gets switched off.

What the room can do

One-button join

The meeting from the room's calendar appears on the tablet, "Start", and the room is in the call. An unscheduled meeting can be started with the same tablet, or you can join by ID.

Wireless screen sharing

An employee sends the screen of a laptop or phone to the room's screen through the Zoom app, without cables or adapters, even when there is no meeting: the room works as a wireless projector.

Calendar

The room connects to the corporate calendar and is visible there as a meeting room: an employee books it from their own calendar app, and the room shows the schedule on the tablet and on the display by the door.

The camera follows the speaker

Tracking cameras keep whoever is speaking in frame by themselves, and in large halls switch between several positions. Camera position presets are set from the tablet.

Touch screen and whiteboard

In Zoom Rooms for Touch participants write and draw right on the screen, and remote participants see it on theirs. Three screens

The active speaker, the participant gallery and shared content at the same time.

Waiting room, virtual background, room control

The room can do the same as the app: a waiting room, a virtual background on a green screen, and from the tablet you can control lights, blinds and air conditioning if they are connected over the network.

Scheduling display and digital signage

The tablet by the door shows occupancy and lets you book the room on the spot, and while the room is free its screen shows announcements, metrics or company news (Digital Signage). Desk booking on the floor lives in the same system: Workspace Reservation.

Details

Old equipment is not thrown away

SIP and H.323 terminals that already stand in meeting rooms connect to Zoom meetings through the Conference Room Connector. The room keeps working, and the company does not pay twice. The connector is a paid add-on: 5,389 ₽ a month excluding VAT at the rate on 6 September 2026; prices on the buying page.

If another meeting system lives in the organisation in parallel, a Zoom Rooms meeting room can join its meetings, and its rooms can join Zoom meetings: participants come in from their side, and the meeting is one. As many rooms as are equipped, that many licences. The employees sitting in the room use no licences: they are meeting participants like everyone else. The Rooms licence requires at least one Workplace licence in the account; that is how Zoom's price list is built. VAT of 22 % is a separate line, and the price is recalculated at the Central Bank rate on the payment date. Equipment is priced separately and bought under the same contract.

We deliberately do not publish equipment prices here: they depend on the size of the room, on what is already in place and on the exchange rate on the day of purchase. We name them after a site survey.

What matters

What IT needs

Rooms are visible in the admin console together with the rest of the account. Equipment status, firmware versions, remote reboot and alerts when a room drops off live in Zoom Device Manager: the administrator learns of a problem before the receptionist does. Connection quality in a specific room is visible on the dashboard. The network is checked before installation with the connectivity test. Policies, single sign-on and encryption are the same as for the rest of the account: no separate perimeter for rooms is needed.

How to equip a meeting room in Russia

Zoom Rooms licences are bought under contract through an official partner, because a Russian bank card does not go through on Zoom's site. Equipment is delivered and installed under the same contract.
