Desk and meeting room booking on a live office map: employees see what is free, book in two taps and check in by QR code once they arrive.

What it is

Workspace Reservation is a workplace booking system for the hybrid office. An administrator uploads a floor plan and marks on it what can be booked: desks, meeting rooms, common areas, phones. An employee opens the map, sees real-time availability for the date they need and claims a spot — from a browser, the Zoom app, a phone or a kiosk by the entrance.

Arrival is confirmed on the spot: by a QR code on the desk, by signing in on a device, or automatically — when the laptop connects to the office Wi-Fi or docks with a supported docking station. A booking with no arrival is released and the spot goes back into circulation.

For the office manager and the head of facilities it is also data: how many spots are actually used, which meeting rooms get booked and never occupied, where desks are in short supply and where a whole floor sits empty.

You can see where to sit

An employee heads to the office already knowing their spot: the map shows free desks for the chosen date, colleagues nearby and meeting rooms for a call. The morning “find a desk” quest is cancelled.

Spaces don't sit idle

Check-in confirms arrival, and a no-show releases the booking automatically. Meeting rooms that are “always busy” stop standing empty under forgotten bookings.

Decisions based on numbers

Up to six months of history: desk and room utilization, no-show rates, peaks by day. The question “do we still need this floor” is answered with data, not gut feel.

Book from anywhere

The web portal, the Zoom desktop app, the mobile app or a kiosk in the office — a spot is claimed in a couple of taps from whichever window you already use.

QR check-in

A code sticker on the desk or the screen of a Zoom device: scan it with the camera and you are checked in — and on the device you are signed in to your account automatically as well.

Automatic check-in

Connecting to the office Wi-Fi or docking a laptop over USB-C with a supported docking station confirms arrival on its own — actual attendance is recorded without the employee doing anything.

Zoom Rooms on the map

Meeting rooms with Zoom Rooms live on the same map: you book a room for a meeting from the app along with a desk next to it — one system for the entire office.

AI recommendations

Suggestions on where to sit and which days to come in so you end up next to your team: the system takes into account when the colleagues you work with are in the office.

Utilization dashboard

Bookings, check-ins, actual utilization, no-shows and auto-releases — separately for desks and meeting rooms, with up to six months of history and a forecast from future bookings.

Multiple offices

A “campus — building — floor — zone” hierarchy and a utilization comparison across up to six floors or buildings at once: you can see where space is short and where it sits empty.

Visitors and passes

The Visitor Management add-on: inviting a guest, a notification when they arrive, printing a badge at the front desk — and, if you like, a spot booked for the guest on the map.

Questionnaires at booking

Custom questions at booking or check-in — from confirming office rules to collecting preferences; the answers feed into dashboard reports.

Permissions and rules

Who sees and books which zones, limits on booking length and number of bookings, approval for special rooms — the rules are set by the administrator at account level.
