My Notes

A personal summary of any meeting: your notes plus automatic transcription — in Zoom, in third-party services and in in-person meetings.

What it is

My Notes is a personal note-taking assistant in the Zoom Workplace app. During a meeting you write down your own things — thoughts, agreements, what to check — while AI transcribes the conversation in parallel. After the meeting this becomes a summary in which your own notes come first, filled out with details from the conversation.

The main difference from “Meeting Summary”: that one gives a shared record for everyone, while My Notes is your personal, detailed summary that only you see. And it works beyond Zoom: with access to the microphone and computer audio, My Notes transcribes meetings in third-party services such as Microsoft Teams and Google Meet, and ordinary in-person meetings too.

Records are saved in your account — in Zoom Hub, on the meeting card and in Zoom Canvas. Audio is not kept after transcription: only the text and the notes remain.

Notes during the meeting

A free text field next to the meeting: capture thoughts, questions and agreements without switching to another notebook.

Automatic transcription

Transcription of the conversation runs alongside your notes. In Zoom meetings it uses the shared meeting audio; outside Zoom — the sound from your microphone and device.

A summary after the meeting

When it ends, AI assembles a detailed summary: your notes at the center, details from the transcript around them. Deeper and more personal than the shared record for all participants.

46 languages

In Zoom meetings transcription understands 46 languages, including Russian. For in-person and third-party meetings — 12 major languages.

Private by default

Only you see your notes: they are not sent to the host or to other participants. Administrator access is possible only through the account admin portal.

Everything in one place

Finished summaries live in Zoom Hub and open from the meeting card and in Zoom Canvas — you can come back, add to them and turn them into a working document.

Audio is not stored

Sound is used only for transcription and is deleted once it is done. The transcript text and the notes are kept — for the periods the administrator sets.

Controls in the meeting

In a Zoom meeting everyone sees the recording indicator, the host can stop transcription for any participant, and a participant can ask the host to do so. At the account level the feature can be turned off entirely.

Responsibility outside Zoom

Honestly: in third-party services the “mute” button in their interface does not stop audio capture from the device — you have to stop it in My Notes itself. The duty to warn the other people about recording is yours, and Zoom reminds you of that.

Speakers without names outside Zoom

In in-person and third-party meetings the transcript labels voices as “Speaker 1”, “Speaker 2” — without linking them to participant names.

A prompt at the start

My Notes notices that the microphone has become active — a meeting has started in the browser or a video is being recorded — and offers to start a new note. The prompts can be turned off.

Limitations

My Notes is not intended for Zoom Phone, Contact Center, Zoom Rooms or the web client: it needs a supported version of the Zoom Workplace desktop client.
