Booking a meeting without the “when works for you” exchange: you share your open slots, the other person picks a time — the event and the meeting link are created automatically.

What it is

Zoom Scheduler is a meeting booking service for people who constantly arrange times with someone outside the company: sales reps, recruiters, consultants, customer success managers. Instead of five emails asking “how about Thursday?” — a single link to a booking page where the other person sees your open slots and picks a convenient one.

Scheduler connects to your calendar — Microsoft 365, Google Workspace or Zoom Mail & Calendar — and reads only your availability: it does not see the titles, descriptions or attendees of your events. Once a time is chosen, the event is created in the calendar by itself, together with a join link. The other person needs neither a Zoom account nor installed software — just a browser.

Licensing: included in Zoom Workplace from the Business tier up; on other plans it is available as a separate add-on. The service runs on Zoom's US and European environments.

Slots are visible, details are not

The other person sees only free intervals: no meeting titles, no attendees, none of your calendar's contents. Availability goes out, privacy stays in.

Works for a team

Team booking pages: “when everyone is free” for group meetings or “any available person” for distributing inquiries among managers. Plus availability polls for a group.

No double bookings, no no-shows

Availability is checked at the moment of booking — overlaps are ruled out. Confirmations and reminders go out by email, push and SMS, and the client actually shows up.

Booking pages

A personal page with your open slots and meeting types. The link can be sent by email, put in your signature or published on your website. Individual pages can be hidden from the general list.

Three kinds of calendars

Microsoft 365, Google Workspace and Zoom Mail & Calendar. Each employee connects their own calendar and can revoke access at any moment.

Meetings on any platform

A join link is created for the booking automatically — Zoom Meetings, Microsoft Teams or Google Meet — or an in-person location is specified. Whatever suits the other person.

Request routing

A form with questions before booking directs the person to the right specialist or meeting type: sales to sales, support to support.

Reminders and follow-up emails

Automatic confirmations, reminders before the meeting and emails after it. SMS is delivered through a carrier with spam protection; the recipient manages their subscription by replying.

Availability polls

When there is no fixed schedule, offer options — participants mark the ones that suit them, and the time is chosen by majority. For meetings with several busy people.

Your own page design

Your company logo and styling on the booking page, your own questions for the guest at booking, cancellation and rescheduling rules — the booking looks like part of your service.

Paid meetings

For consultations and paid sessions you can enable payments through Stripe: the money goes straight to your Stripe account, and Zoom neither sees nor stores card details. Cancellations and refunds are handled from the booking interface.

Integrations

Salesforce receives booked meetings into its records, and Zapier connects bookings to any workflow. It works from the web portal, from the Zoom app and from a phone.

Access under control

The calendar is connected over OAuth with encrypted tokens; only busy status is read, and only events created by Scheduler itself are modified. The provider's administrator can revoke access centrally.

Delegation

An assistant manages an executive's booking pages: sets up meeting types, keeps track of bookings and reschedules — without getting access to calendar contents beyond availability.

Limitations

To be honest: booking pages are open to anyone who has the link — there is no password protection or SSO sign-in for them; on-premises Exchange Server is not supported; and links cannot be inserted into SMS.

Sales and demos

The booking link goes in your signature, on the website and in the email after first contact. A warm lead books a demo at the moment of interest, not after three days of emails about timing.

Recruiting

The candidate picks an interview slot from the recruiter's open times or from an “any available person” team page. Scheduling interviews stops eating half of the recruiter's day.

Consultants and experts

A page with session types, cancellation rules and, if needed, payment through Stripe. The calendar fills up by itself, and reminders cut no-shows.

Customer success

Regular status calls and reviews with the client: the client books a convenient time without intermediaries, the meeting comes with a join link right away, and rescheduling is self-service via the link in the email.
