Zoom branding: vanity URL, email templates, registration page and company backgrounds

How to style Zoom for your company: the company.zoom.us address and sign-in page, meeting emails, the webinar registration page, backgrounds and meeting room screens.

Zoom can be styled so that an employee and a customer see your company, not Zoom: the address `company.zoom.us` with its own sign-in page, meeting emails with your logo and signature, a webinar registration page in your colours with speaker photos, the same virtual background for all employees, and meeting room screens with your news.

All of this is set by the administrator in the account on zoom.us, section "Advanced → Branding", without a developer, except the sign-in page, which needs HTML and CSS. Most of it is available from the Business plan; the vanity URL is also needed for single sign-on. Below, part by part.

The vanity URL: company.zoom.us

The vanity URL is your account's address of the form `company.zoom.us`. It is not only for looks: without it single sign-on cannot be set up, and meeting links with it look like yours rather than a random set of digits.

How to get it: the account, "Account Settings → Account Profile → Vanity URL", request the name you want. Zoom reviews the request: the name must relate to your company and not match someone else's. The answer usually arrives within a few days. Available on Business and above.

What matters

The sign-in page

On the vanity URL lives the landing page: from it employees sign in to the account, start a meeting or join by ID. By default it is standard. In "Branding → Landing Page" you can change the logo, background, heading, text and button colours, header and footer.

The setup is done in HTML and CSS code, and this is the only part of branding where a person who can build web pages is needed. The webinar registration page and the waiting room are not part of it; they have their own settings. If there is no web developer, we do this during rollout.

Email templates

Zoom sends emails on your behalf: a meeting invitation, a registration confirmation, a reminder, a notice of cancellation or rescheduling, an email with a recording link, password emails. All of them can be customised: subject, text, logo, company signature.

Where: "Advanced → Branding → Emails", the "Edit" button next to the template you need. The meeting invitation has two tabs: "Plain text" for the app and mobile clients and "HTML format" for the Outlook add-in. Templates can be set for the whole account or for a group of users: one email for sales, another for training. The text has variables: the meeting title, date, link, host name.

What to fix first: the company signature instead of "Zoom", a link to the sign-in guide for external participants, and a support contact in case something does not work.

The webinar registration page

A webinar attendee first sees the registration page, and it can be in your style. In the settings of a specific webinar, the "Branding" tab:

at the top of the page and logo on the right.

Speakers

photo, name, title, organisation and biography, up to three speakers.

Theme

ready colour schemes or your own colours for background, heading and buttons.

Emails

to registrants, attendees, panelists and absentees: subject and text with your signature.

Branding is set per webinar, so for a series of webinars from one team it is convenient to make a template and copy the webinar. How registration works as a whole is in the webinar guide and the registration guide.

On the substance

A branded background for all employees

The administrator uploads the company's virtual backgrounds in the account settings, section "Background & effects", and they appear for all employees in the list of backgrounds. Personal backgrounds can be forbidden; then in meetings with customers everyone has the same picture. The image requirements and how to switch on a background are in the guide on audio, video and background. A good branded background is calm: the logo in a corner, not in the centre behind the head.

What matters

Meeting rooms and screens

While a Zoom Rooms meeting room is free, its screen shows what you have uploaded: company news, metrics, announcements; that is digital signage. The background of the scheduling display by the door and the virtual background of the room itself are also set by the administrator. How a room is put together is in the Zoom Rooms guide.

What branding does not do

Branding does not remove Zoom from the meeting entirely: the app remains the Zoom app, and a participant sees that. It does not replace the company's website for collecting registrations, and it is not needed to make "meetings look more expensive". It is needed when outside people regularly see your links, emails and pages and should recognise the company, and when single sign-on requires a vanity URL.
