An action item from a meeting, a request from chat and an email with a job to do land in one list. Assignee, due date and status are visible to everyone who should see them.
Zoom Tasks is a task list inside Zoom Workplace. A task is created in the Tasks tab, from a message in Team Chat, from an email in Zoom Mail or from a meeting summary. Every task has an assignee, a due date, a status and a description. Nothing has to be copied into a separate program.
Zoom AI takes part on both sides. After a meeting it finds the action items in the conversation and suggests them as tasks. In the list it suggests where to start and takes some of the work on itself.
Tasks is available in the Zoom Workplace app on Windows, macOS and Linux, in the mobile app on iOS and Android, in the web app and in the web portal. For development teams there is a Jira integration.
An action item usually lives in three places: in someone's head, in chat and in someone's notes. Tasks brings them into one.
Zoom AI picks the action items out of the meeting summary and suggests them as tasks. All that is left is to set an assignee and a due date.
A Team Chat message turns into a task in two clicks. A notification about the new task appears in the same channel.
Assignee, due date and status are open to those who should see them: only the task's participants or the whole organisation.
One task list for meetings, chat and email
Title, due date, assignees and visibility are required. A formatted description, attachments, status and collaborators are optional.
Hover over a message and choose Create task. Or highlight a piece of text and create a task from it. The channel gets a notification.
In Zoom Mail an email turns into a task with the same button. A customer's request does not drown in the inbox.
After a meeting the AI picks out the action items and shows them under Recommended. Approve, and the task is in the list.
Some tasks the AI completes on its own, for example a first draft or a summary. The list is shorter, and you decide what to accept.
A task has one or more assignees and collaborators with access. The creator is assigned by default.
"Only assignees and collaborators" or "Anyone in the organisation". The task is seen by those who should see it and by nobody else.
An email and a chat message when a task is assigned to you. The two channels are switched on and off separately.
Zoom tasks connect to Jira if the team runs its projects there. Developers do not change their tool.
The app on Windows, macOS and Linux version 6.4.3 or later, the mobile app on iOS and Android from 6.4.5, the web app and the web portal.
Enable Tasks for the account, a group or a user. Allow or block task assignment, attachments, email and chat notifications. A setting can be locked.
Tasks needs no separate licence: the feature has to be enabled and the Zoom Workplace app installed. Zoom warns that the feature may be unavailable for some verticals and regions. Suggestions and recommendations run on Zoom AI infrastructure.
Wherever a conversation should leave action items behind, not just an impression
Zoom AI picked out the action items, the manager approved them as one list. Each has an assignee and a due date before everyone has left the room.
A "could you take a look" in a channel becomes a task with an assignee. A week later it is clear whether it was done.
An email with a request turns into a task with a date. The reply does not depend on who opened the inbox first.
Tasks from meetings, chat and email in one place with today's due dates. Zoom AI suggests where to start.
A task is visible to the whole organisation if that is the choice. Neighbouring teams follow the status without reminders in chat.
Zoom tasks connect to Jira, where the backlog lives. Agreements from a meeting reach the developers without manual copying.
