Workflows

The meeting summary lands in a document by itself, a request from chat goes for approval by itself, a newcomer in a channel gets a welcome by itself. Workflows are assembled from blocks, without a programmer.

What it is

Zoom Workflow Automation is a workflow builder inside Zoom Workplace. A workflow is assembled from blocks in the Workflows tab of the app: a trigger, a condition, an action. No programming is needed, and a ready-made template is a good place to start.

Triggers come from Zoom and from external systems: a message or a reaction in Team Chat, a submitted form, a finished meeting summary, a reply from a specific person, a webhook from another application. Actions are on both sides too: a message to a channel, a document, a notification, an approval, a record in Google, Microsoft or Jira.

Zoom AI joins a workflow as a separate step: put the meeting summary into a document, summarise a channel's conversations for the day, prepare the team for the weekly call.

Three routines that leave on their own

Meeting summary into a document

As soon as Zoom AI has produced the meeting summary, the workflow puts it into a Zoom Doc, Google Doc or Word document and shares it in the team channel.

Requests and approvals in chat

A form in chat takes a leave request or an IT ticket, sends it to the approver and notifies the team when the answer arrives.

A newcomer in a channel

Someone joins a channel and immediately gets a welcome with the rules and links. Nobody forgot, nobody typed it by hand.

A builder without code

A workflow is assembled from blocks in the Workflows tab. Conditions and sequential steps combine in one workflow.

Templates

Ready-made workflows for typical jobs: a summary digest, request collection, a welcome, reminders. Your own workflow can be published as a template for colleagues.

Triggers from Team Chat

A message, a reaction with a specific emoji, a reply from a specific person, joining a channel. A ready answer to a frequent question can be attached to a reaction.

Forms

A form for collecting requests right in chat: IT tickets, leave requests, feedback. The answers continue along the workflow.

Zoom AI steps

A meeting summary with action items, a digest of a channel's conversations, preparation for the weekly call. A Zoom AI summary fits into any workflow.

External systems

Ready connections to Google, Microsoft and Jira. Incoming webhooks start a workflow from any application that can send them.

Reminders and replies

Recurring reminders and a notification when the right person has replied. An approval does not hang without an answer.

Run log

The administrator sees every workflow in the account, searches by name and owner, views activity for 30 days and the status of each run: completed, failed, in progress. Run history is kept for 14 months.

Administrator controls

Who creates workflows: everyone in the organisation or administrators only. Disabling in specific channels, allowing webhooks, publishing templates. Settings at account, group and channel level.

Where it works

Workflows are built and edited in the Zoom Workplace app on a computer, version 6.3.10 or later. Workflows cannot be built in the mobile app.

Licensing and availability

Included in paid Zoom Workplace plans. Each plan has its own allotment of runs, standard and premium. Zoom AI steps need Zoom AI enabled in the account.

The weekly team call

Before the call the workflow asks Zoom AI to digest the channel's conversations for the week and puts the digest into a document. The meeting starts with facts, not with "who remembers".

IT support

A form in the channel collects tickets in a set format, each goes to the person on duty, the author gets a status notification.

Leave and approvals

A request through a form in chat, the approver answers with one click, the team finds out automatically.

A ready answer is attached to an emoji reaction. "Where is the policy" is closed with one click.

Every project meeting ends with a document of decisions and action items in the project channel, without a secretary.
