An employee is not allowed to transfer files or record locally. They join a customer's meeting from a personal laptop, and the ban applies there too. The restriction is tied to the person, not to the meeting and not to the device.
Ordinary Zoom settings apply in your account's meetings. As soon as an employee joins a partner's or a customer's meeting, the rules are set by someone else's host. The Follow the User policy closes that gap: the restrictions set by the administrator apply in external meetings and webinars and on any device the employee has signed in to Zoom with.
The list of restrictable features is long: chat and direct messages, file transfer, screen sharing, annotation and whiteboard, reactions, remote control and remote support, local recording, captions and saving them, meeting summary and questions to Zoom AI, Zoom Apps, file transfer to third-party storage, guest access, joining webinars, even computer audio.
The policy is set at account, group or user level. If it is locked at account level with the "All Meetings" scope, it overrides any settings below. Together with Zoom Device Manager it makes a complete loop: the device under management and the person under policy.
While the restriction lives in the meeting settings, it is bypassed with one outside invitation. While it lives in the device, it is bypassed with a personal phone.
The host of someone else's meeting allows screen sharing for everyone. Your employee still cannot use it, if that is what your security team decided.
A work laptop, a personal phone, Zoom Rooms in a meeting room: the employee signed in with their account, and the policy is with them.
What is allowed and what is not is described once at account level. Groups and individuals get exceptions if they are needed.

The restrictions follow the user on any client and stand above ordinary web portal settings. A meeting cannot argue with them.

Wherever employees attend other people's meetings and the rules are one
Screen sharing and file transfer are banned in external meetings. Customer data does not leave the perimeter even by invitation.
Local recording and captions are closed. A conversation with a contractor does not settle on a personal laptop.
Zoom AI summaries are allowed inside the company and closed in meetings with outsiders. One group, one exception.
A personal phone under the same policy as the work laptop. No MDM is needed to close meeting chat.
A separate group with a strict set: no files, no recording, no apps. The contract ends, the group is deleted.
The feature list is checked against the security rules, groups and exceptions are designed with IT, the request to Zoom to enable the feature, testing on trial users. Then support in Russian.
Client features had to be restricted and policies assigned to user groups, otherwise there was a risk of data leaving the company.
