Communication Compliance

Information Barriers

Traders and analysts, doctors and insurers, two competing teams under one holding. A policy blocks or limits their communication in meetings, chat, phone and SMS at once.

What it is

Information Barriers are policies in the Zoom account between user groups. The administrator defines which groups must not communicate, and Zoom applies the block in meetings, in Team Chat, in Zoom Phone and in SMS. Webinars are not yet covered by the policies, and Zoom says so plainly.

There are two kinds of block. Hard: members of the groups cannot meet or message at all. Soft: a meeting is possible, but chat, file transfer, screen sharing and recording are switched off in it. The regulator gets a guarantee, and collaboration stays where it is allowed.

Policies are built only on groups that already exist in Zoom group management. The feature itself is enabled through Zoom Support, and people must be sorted into groups before it is switched on.

How it works
  • User groups in the Zoom account
  • Hard block: no meetings, no messaging
  • Soft block: no chat, files, screen or recording
  • Meetings, chat, phone and SMS at once
  • Blocked users cannot find each other

One policy instead of four memos

A "do not communicate" rule on paper holds until the first convenient moment. A policy in the platform holds always.

The block works by itself

An employee in a restricted group will not find a colleague from the other group in chat search and cannot dial their number. A mistake from the other side is just as impossible.

A limit instead of a ban

Where a full ban gets in the way of work, a soft policy keeps the meeting but removes the leak channels: chat, files, screen, recording.

One list for the auditor

Groups and policies are visible in the web portal. The inspector is shown the rule, not correspondence with promises.

Capabilities

What you get from Information Barriers

Policies, coverage and what the user sees

Policies between groups

A rule is set for a pair of groups from Zoom group management. As many groups, as many combinations can be described.

Hard block

Members of two groups can neither meet nor message. Zoom will not let such a meeting or chat be created.

Soft block

A meeting is possible, but meeting chat, file transfer, screen sharing and recording are off. The conversation is there, the leak channel is not.

Chat

Blocked users cannot find each other in search and cannot write. The rule applies in direct messages and in channels.

Phone and SMS

An attempt to call or text a member of a restricted group returns a message about restricted communication between groups.

Meetings

For the policy to apply in a meeting the user must be signed in to Zoom. Webinars are not yet covered.

Set up by the administrator or through the API

Policies are created in the web portal or from an external system through an integration, if groups are kept there.

On-premises chat is covered too

Together with Team Chat Hybrid on Zoom Node the policies also apply to messages stored in your own data centre.

Requirements and availability

The feature is enabled by Zoom Support at the administrator's request. Users must be sorted into groups before it is enabled. Zoom's documentation names no separate licence.

Scenes

Where it works

Wherever a regulator or an internal rule keeps people apart

01

Investment and brokerage

Analysts and traders do not talk directly. A hard policy between the groups closes meetings, chat and phone.

02

A bank: front and back office

The lending department and risk assessment. A soft policy: a meeting is possible, files and screen are not.

03

Healthcare and insurance

Treating doctors and insurance staff in one holding. Patient data does not drift into chat out of habit.

04

A law firm

Teams acting for opposing sides. The conflict of interest is closed at platform level, not in a memo.

05

A holding with competing businesses

Two subsidiaries in the same market in one Zoom account. Shared infrastructure, separate communication.

06

Deployment with RightConf

Reviewing the rules with compliance, a group scheme, the request to Zoom to enable the feature, testing policies on trial users, training the administrator. Then support in Russian.

How it worked for others

An example deployment

A large financial organization

Banking

Meeting archiving and information barriers had to be provided at the regulator's request.

  • Zoom Compliance Manager built on Theta Lake was deployed with archiving through the Zoom cloud
  • Legal hold functions for materials in litigation were enabled
  • A full eDiscovery process for inspections was put in place

What you need to get started

Requirements
