What it is

Zoom Paper is a document editor inside Zoom Workplace, built around AI and designed for long work with text: writing, restructuring, proofreading. If Canvas is a flexible space for collaboration and a mix of materials, then Paper is made for documents that need a clear structure, even formatting and focused writing.

That is why Paper belongs where the output has to be a document you would not be embarrassed to send outside: a report, a sales proposal, an analytical brief, a policy, a contract, a research piece. Not every job needs the same surface — something starts in a free space, but then has to become a polished piece with clear layout and an understandable edit history. That is the role Paper plays on the platform.

Paper is part of the AI Productivity Suite suite, alongside Canvas, Sheets and Slides. The suite's AI capabilities are enabled by a ZoomMate or AI Productivity Suite license and consume AI credits; without a license the editor remains available, but without AI and within the limits of your Zoom Workplace plan.

The source is your working context

The discussion in a meeting, the meeting summary, notes, uploaded files and work from Canvas become the basis of the document. The context moves into the text along with the content.

Editing goes in rounds

A draft, rearranging sections, refining wording, changing the tone for the recipient — AI helps on every round, not only at the moment the text is created.

The output is a finished piece

Even formatting, a considered structure and a clear edit history. The document is fit to send to a client, to management or for approval, not only for internal reading.

Writing, editing, approval and version control in one editor

Structured writing

The editor is designed for long text with headings, sections and even formatting. Attention goes to the content instead of fighting the layout.

A draft on request

The first version of the text is created from your description or from existing material: a meeting summary, notes, uploaded files. After that it is edited like any document.

Rewriting and shortening

A single paragraph or a whole section is rewritten on request: shorter, clearer, in different words. It works on your own text and on text you have received.

Changing the tone

The same material is brought to the right register: formal for an external recipient, working for the team, short for management.

A short summary

A long document is compressed to its essence — for a cover letter, for a meeting or for people who need the conclusion, not thirty pages.

Translation

Text is translated inside the document, without exporting it to an outside service. Useful when the material goes to a partner or to colleagues in another country.

Co-authoring

Several people write the document at the same time. For material assembled from the contributions of different departments this is noticeably faster than emailing versions back and forth.

Comments and discussion

Comments are placed right in the text, a colleague is called in with a mention, and the discussion runs as a thread next to the disputed passage. Approval stays inside the document.

Version history

You can see how the document changed and who contributed what. For policies, contracts and material with formal approval this is not a convenience but a requirement.

Export outside

A finished document is exported to the usual external formats — to send to the recipient, attach to an email or file in the company archive.

Connection with the rest of the suite

Paper stays next to Canvas, Sheets and Slides: the idea grows in the space, the numbers are calculated in the spreadsheet, the text is polished here, and the result is shown as a deck.

Limits of use

Honestly: Paper is not an infinite canvas and not a whiteboard; it has no free placement of blocks around a space. AI features require a ZoomMate or AI Productivity Suite license, consume AI credits, run on the US instance and work in English.

Sales proposals

A conversation with a client turns into a proposal: AI assembles the first version from the meeting summary, the manager corrects the figures and wording, and the head of the team approves with comments right in the text.
